The challenge: A constellation of tools with no central thread

Rob runs a solo consultancy juggling multiple client engagements, venture projects, and R&D work. His tools were specialized but disconnected. Google Workspace handled scheduling, tasks, and contacts. Fantastical aggregated calendars from different clients. Notion was the knowledge base. Nothing tied them together.

Client data scattered across Google apps

Contacts, meetings, tasks, and emails lived in separate Google services. There was no unified view of a client relationship, just fragments spread across apps.

Notion had no connection to calendars or contacts

Notion served as the central workspace and second brain, but calendar events and contact records were invisible to it. Time management and relationship tracking existed in a parallel universe.

Existing solutions felt unreliable

Rob evaluated Zapier but found it "hokey" compared to a purpose-built sync. He needed something clean that worked once and never required babysitting.

Enterprise CRMs were overkill for a solo practice

Tools like HubSpot and Pipedrive are designed for larger teams. Rob needed relationship management that matched a solo consultant's workflow, not a sales org's pipeline.

The solution: Google Workspace piped into a Notion second brain via 2sync

Rob connected Google Calendar, Google Tasks, and Google Contacts to his Notion workspace through 2sync. Combined with the Esolo Second Brain template he had already customized, this turned Notion into a full relationship and time management hub without adding another subscription.

Contacts woven into everything

Instead of plain text names, Rob tags synced contacts on projects, trackers, and notes. When he needs to find anything related to a person, Notion AI surfaces it instantly across his entire workspace.

Calendar events linked to project databases

Google Calendar meetings sync into Notion alongside tasks and project data. Combined with Fantastical for multi-source calendar aggregation, Rob gets full visibility into his schedule within his workspace.

Tasks flow between Google and Notion

Google Tasks sync two-way with Notion, keeping Rob's task management connected to his project databases and second brain system.

No extra subscriptions needed

2sync replaced the need for standalone CRM or contact management tools. Rob consolidates his annual subscription costs while getting more capability than separate services provided.

Implementation: Calendar first, then expand

Rob started with Google Calendar sync to bridge Notion and Fantastical. Once that worked, he added Google Tasks and Google Contacts, progressively building a connected workspace on top of his existing Esolo Second Brain template.

Time to value: Same day
1

Connected Google Calendar to Notion

Google Calendar

Set up two-way sync between Google Calendar and the events database in his customized Second Brain template. This gave Notion visibility into his full schedule across client engagements.

2

Added Google Tasks for task management

Google Tasks

Connected Google Tasks to Notion so tasks captured on any device sync into his project tracking databases automatically.

3

Integrated Google Contacts across the workspace

Google Contacts

Synced Google Contacts into Notion and started tagging contacts on projects, meeting notes, and trackers. This turned contact records into a relationship graph queryable through Notion AI.

The results: A Notion workspace that knows every relationship

Rob's Notion workspace now functions as a complete relationship and project management system. Contacts are tagged across databases, calendar events provide timeline context, and Notion AI ties it all together. He describes the setup as unlocking capabilities that simply weren't possible before.

"Your product has unlocked a lot of capabilities that I just couldn't have before. It reduced my dependency on other services. I'm always trying to save money, and you've allowed me to keep more centralized into Notion, which has been my goal. I'm pretty reliant on what you provide."
