Microsoft To Do fields that sync to Notion

Every Microsoft To Do field that syncs to Notion with 2sync: property types, sync directions, and how dates, importance, status, categories, lists, and steps map

2sync syncs 18 Microsoft To Do fields to Notion, from the task title and notes to importance, status, categories, reminders, and steps. Eleven of them sync in both directions, so you can manage a task in either app. The rest are read-only and flow from To Do into Notion, apart from the deletion trigger, which only goes the other way. You control each field's direction in field mapping.

For the setup walkthrough, see the Microsoft To Do sync guide.

Each two-way field can also be set to one-way to Notion or one-way to Microsoft To Do. Change it per field in your automation's field mapping settings.

Two more fields describe the sync itself: Sync Status shows whether each page is Synced, Ignored, Removed, or Read Only (see sync item statuses), and Automation Name shows which automation created the page.

Task title

Task Title maps to Notion's Title property by default, the main name of each page. You can also map it to a Text or Select property. Renaming a task in either app updates the other.

Description

Description maps to a Text property and holds the task's notes. To Do notes are plain text, so formatting added in Notion (bold, lists, links) arrives in To Do as plain text.

If Add Notion link below every description is on in Sync Settings, the notes in To Do end with a link to the Notion page. That link is not copied back into the Notion property.

Completed and Task Status

Completed syncs as a Checkbox or a Status property. Checking it in Notion sets the task to Completed in To Do. Unchecking it sets the task to Not started, because To Do does not remember the status a task had before. With a Status property, any option in its Complete group counts as done.

Task Status carries the full To Do status: Not started, In progress, Completed, Waiting on others, or Deferred. Map it to a Select property to use all five in Notion.

Completed At records the day the task was completed. To Do stores a day, not a time, so the Notion date has no time. It syncs to Notion only.

Due date and start date

Due Date and Start Date map to Notion Date properties and sync both ways. In To Do they are days with no time of day. If you set a time on the Notion date, the task lands on the correct day and the time is dropped.

2sync reads your time zone from your Microsoft mailbox settings and uses it to place each date, so the day in Notion matches the day in To Do.

Reminder

Reminder maps to a Date property with a date and a time, and syncs both ways. Setting it in Notion turns on the reminder in To Do. Clearing it turns the reminder off.

Importance

Importance maps to a Select property with three options, Low, Normal, and High. In the To Do app, High is the star that puts a task in the Important view, so you can rebuild that view in Notion with a filter on Importance is High.

Categories

Categories maps to a Multi-select property. To Do categories are the same color categories you use in Outlook. A category typed in Notion that does not exist yet in Outlook still syncs; it shows up in To Do without a color.

List

To Do keeps every task in one list. Two fields expose it:

  • List (Select, Text) holds the list name. Map it to a Select property to group or filter by list. Setting it on a new Notion page decides which list the task is created in.
  • List (Relation) links each task to a page in a separate Lists database, which lets you add rollups such as open tasks per list.

Changing the list on an existing page moves the task to that list in To Do. Tasks in a shared list and tasks with file attachments stay in their list, and the property switches back on a later sync. See moving a task to another list.

Steps

Steps maps to a Text property. Each checklist step of the task appears on its own line, with ☑ for finished steps and ☐ for open ones. Steps sync to Notion only; edit them in To Do.

To Do has no subtasks, parent tasks, or sections, so no field exists for them.

Added at

Added At records when the task was created in To Do, with the date and the time. It syncs to Notion only.

Is recurring

Is Recurring is a Checkbox that is checked when the task repeats. It syncs to Notion only. Completing a recurring task creates the next occurrence as a new task, which syncs as a new Notion page. See how recurring tasks work.

Task ID and Task Url

Task ID is the task's identifier in To Do, stored as text. Task Url is a link that opens the task in To Do on the web. Both sync to Notion only.

Trigger deletion

Trigger deletion on Microsoft To Do maps to a Checkbox, Status, or Formula property. When the property is checked, or set to a Complete status, 2sync deletes the task from To Do on the next sync. It only works in that direction.

Pages where the property is already checked lose their task on the next sync. Start from an empty property.

FAQ

Which Microsoft To Do fields sync both ways?

Task Title, Description, Completed, Task Status, Due Date, Start Date, Reminder, Importance, Categories, and the two List fields. Steps, Completed At, Added At, Is Recurring, Task ID, and Task Url sync to Notion only.

Why do my due dates lose their time?

Microsoft To Do stores due and start dates as days. A time set in Notion is dropped, and the task lands on the correct day. Use the Reminder field when you need a time.

Can I map To Do steps to subtasks in Notion?

No. Steps arrive as text in one Notion property, one per line, and sync to Notion only. To Do has no subtasks or parent tasks.

What happens when I uncheck Completed in Notion?

The task reopens in To Do with the status Not started. To Do does not keep the status the task had before it was completed.

Do new categories from Notion work in To Do?

Yes. A category name that does not exist in Outlook yet still syncs and appears on the task without a color.
