Name fields

The Full Name field maps to Notion's Title property, the main name of each database page. The First Name and Last Name fields sync separately as Rich Text properties.

Outlook computes the display name from first and last name fields. Editing either the full name or individual name fields updates the corresponding values in Outlook. Keep them consistent to avoid mismatches.

Email

The primary email address maps to the Email property in Notion. For contacts with multiple email addresses, the primary one takes precedence for attendee matching in calendar syncs.

Changing a field's sync direction after initial setup does not retroactively update existing items. Only new changes follow the updated direction.

Phone

The primary phone number maps to the Phone Number property in Notion. Phone numbers sync with their formatting preserved.

Address

The Address field syncs as Rich Text containing the full formatted address. Outlook stores address components separately (street, city, state, postal code, country), but 2sync combines them into a single text field for Notion.

Company and job title

The Company and Job Title fields each map to Rich Text properties. These are especially useful for CRM workflows. Filter or group your Notion database by company to see all contacts at an organization. See the Notion CRM guide for setup ideas.

Birthday

The Birthday field syncs as a Date property in both directions. Set a birthday in Notion and it appears in Outlook. Outlook birthday events in the calendar are separate from the contact birthday field.

Contact folder

The Contact Folder field identifies which Outlook folder a contact belongs to. It syncs as a read-only Select property, letting you filter and group contacts by source folder in Notion.

Contact Folder is read-only in Notion, so to move a contact between folders, make the change in Outlook directly.

  1. Set up your Outlook Contacts sync if you haven't connected yet

  3. Configure sync direction per field
  4. Set default values for empty fields

FAQ

Can I sync contacts from multiple Microsoft accounts?

Yes. Connect multiple Microsoft accounts and select contact folders from each. All contacts sync to the same Notion database with the Contact Folder field identifying their source.

How do I link contacts to Outlook Calendar events?

Set up both Outlook Contacts and Outlook Calendar automations. Map the Attendees (Contacts) field in your calendar automation to a Relation property pointing to your contacts database. 2sync matches attendees by email.

Why can't I move contacts between folders from Notion?

The Contact Folder field is read-only because Outlook treats folder assignment as a structural operation. Move contacts between folders in Outlook, and the change syncs to Notion.

Does Outlook Contacts have a contact limit?

Microsoft 365 accounts support up to 10,000 contacts per folder by default. Enterprise accounts may have higher limits depending on admin settings.

Can I add new fields to the sync?

No. You can only sync the 10 fields listed above. Custom Outlook fields are not supported. However, you can add Notion-only properties to your database for additional tracking.

Can I create contacts from Notion?

Yes. New pages added to your synced Notion database create Outlook Contacts on the next sync cycle. Make sure to fill in at least the Full Name field.

How does the Address field handle structured components?

Outlook stores address data separately (street, city, state, postal code, country), but 2sync combines them into a single text string for Notion. Editing the address in Notion updates the full address in Outlook.

What's different from Google Contacts fields?

Google Contacts syncs 14 fields including multiple emails (up to 3), multiple phones (up to 3), nicknames, photos, and labels. Outlook Contacts syncs 10 fields with a single email and phone, plus a Contact Folder field. Both support names, address, company, job title, and birthday.
