Subject

The Subject field maps to Notion's Title property, the main name of each database page. The email subject line appears as the page title, making emails searchable in Notion. Emails without a subject sync with an empty title.

Sender and recipients

The Sender field stores the email address of who sent the message. The To, CC, and BCC fields store the respective recipient lists as Rich Text.

Use the Sender field to filter or group your Notion database by who sent each email. Combine with an Outlook Contacts relation to link emails directly to contact pages.

Categories

Outlook categories (color-coded tags) sync as a Multi-select property. Unlike Gmail labels, Outlook categories are applied across all mail folders. If an email has multiple categories, all of them appear in Notion.

Use categories to filter which emails sync. For example, sync only emails categorized as "Archive" for a focused reference database. Create categories in Outlook (like "Client", "Invoice", "Follow Up") and they appear as select options in Notion.

Categories in Notion are read-only. To add or remove categories, make changes in Outlook directly.

Attachments

The Has Attachments checkbox indicates whether the email contains files. The Attachment Info field lists attachment names and metadata as Rich Text.

Attachment files do not sync to Notion. Only metadata (file names, sizes) is included. Access the original attachments through the Email Link.

Email preview

The Email Preview field contains a short snippet of the email body, similar to what you see in Outlook's inbox list. This gives you a quick summary without opening the page.

The full email body syncs as page content. Open the Notion page to read the complete message with basic formatting preserved.

Date received

The Date Received field syncs as a Date property showing when the email was sent. Use it to sort your email archive chronologically or create date-filtered views (e.g., "This Week's Emails", "Last 30 Days").

The Email Link field provides a direct URL to the original email in Outlook. For Microsoft 365 accounts, this opens Outlook on the web. Click it from Notion to open the full email in your browser, including all attachments and formatting that may not be preserved in Notion.

Reset Sync History does not create duplicates. Existing pages are updated with the new mapping.
